Manufacturing and fabrication: a digital handover checklist

Overview

Translate the equipment requirement into a controlled design basis before fabrication. Identify operating conditions, interfaces, material requirements, inspection points and the documentation needed for installation and maintenance. Confirm who can approve deviations from the accepted drawing or specification.

Maintain a traceable record linking drawings, revisions, material evidence, inspections and test results. Review mechanical and electrical interfaces together where appropriate. Plan installation access, service connections, lifting and maintenance needs in the project-specific method and review process.

The handover should identify the installed equipment, accepted revision, remaining actions and responsibilities for operation. Device concepts and generated illustrations help explain intent but do not establish dimensions, performance ratings or certification. Require validated product-specific documentation before engineering acceptance.

A fabrication data pack should make it possible to follow an item from the accepted requirement to the installed asset. Define the naming and revision convention for drawings and records. Link the material or component evidence, inspection status, approved deviations and installation record to the correct item. A folder containing many files is not a controlled handover if their relationship to the installed equipment is unclear.

Review inspection and acceptance hold points before production. Identify the evidence needed at each point and who can release the next stage. Confirm the actual operating interfaces and access requirements with the receiving team. Where the assembly connects to an instrumentation or digital system, include the device identity, configuration responsibility and accepted interface documentation in the handover.

After installation, record the accepted equipment revision and any field changes. Provide the operating and maintenance information needed for the agreed use case and keep unresolved actions visible. Generated concept imagery may help teams discuss the arrangement, but dimensions, materials, performance ratings and certification must come from validated project or supplier documentation. Require a reviewed change process for modifications during service.

Key considerations

  • Define the operating question and asset boundary.
  • Record input quality, units, ownership and revision.
  • Agree review responsibilities and acceptance criteria.
  • Verify project-specific requirements before implementation.
