Digital revenue technology: connecting service and finance

Overview

Begin with the revenue workflow: customer identity, service delivery, charge calculation, invoice, collection and reconciliation. Identify where information is duplicated or manually re-entered and establish the accountable owner for each stage. Avoid treating a dashboard total as a reconciled financial record.

Define identifiers linking customers, accounts, assets and transactions. Agree validation rules, approval limits and exception handling before integration. Separate operational access from financial permissions and preserve an audit trail for adjustments. Confirm the billing entity, currency and provider arrangement for every online payment flow.

A successful redirect from a payment page is not proof of payment. Financial status should follow verified provider events or an authorised bank reconciliation. Keep test transactions separate from production and review failed, duplicate and disputed events. Publish subscription terms and cancellation responsibilities before enabling recurring collection.

A reconciliation design should identify the source of truth for invoice identity, amount, currency and payment status. Record how adjustments and credits relate to the original invoice and who can approve them. Keep service delivery records separate from payment confirmation so that an operational update cannot silently modify a financial ledger. Use permissions appropriate to the staff role and the client account.

Test payment events beyond the successful checkout path: a failed payment, a delayed payment, a duplicate event, an amount mismatch and a provider retry. Validate events through the provider’s authenticated mechanism and preserve event identity for idempotency. Financial status should not depend on the text of a browser query parameter or a visitor returning to a success URL.

For recurring billing, agree the subscription scope, price, period, billing entity and cancellation responsibility before activation. Distinguish a requested subscription, an active provider subscription and a cancellation scheduled for period end. Record provider references and keep client access separate from administrator credentials. A provider integration does not by itself determine tax, legal or accounting treatment; those requirements belong in the entity-specific implementation review.
